We are looking for an experienced and highly organized Office Manager to join our commercial film production team. In this multifaceted role, you will be responsible for the smooth and efficient operation of the production office, improving office processes, coordinating appointments, managing event planning and service coordination, and providing administrative support to management.
The ideal candidate will have excellent communication skills, attention to detail, and a passion for organization.

- Manage and maintain the inventory of office supplies and equipment, and order new items as needed
- Develop and maintain an efficient filing system for both digital and print documents, including contact lists
- Create and update checklists, guidelines, and templates to improve office processes
- Manage appointment schedules, including receiving visitors and answering telephone calls, and coordinating, confirming, rescheduling, and canceling appointments
- Monitor deadlines and follow up on outstanding items
- Plan and book travel arrangements for staff, ensuring that they have all necessary information
- Coordinate and format digital and print information, including the creation of reports and presentations
- Continuously improve office processes, such as introducing a paperless office, creating workflow with software
- Develop and maintain an office manual with clear descriptions of all office procedures and processes
- Manage private events and organize gifts and greeting cards as needed
- Hire and coordinate service providers, including cleaning companies and caretakers, to ensure a well-maintained and professional office environment
- Perform preparatory accounting tasks, such as managing credit card statements, travel expenses, and banking activities
- Manage administrative tasks, such as KSK applications, sickness notifications, work certificates, and damage reports
- Provide reminders and support to staff as needed
- Serve as the primary point of contact for colleagues and clients, ensuring a positive external image towards clients and maintaining strong working relationships
- Provide assistance to management as needed, including support for special projects and initiatives.
- Proven experience in office management
- Excellent organizational and time-management skills
- Strong communication skills and ability to manage multiple tasks
- Proficient in Microsoft Office Suite
- Ability to work independently and as part of a team
- Detail-oriented and problem-solving skills
- Fluent in German and English
Previous experience in the film business is appreciated, as some tasks require basic understanding.
