Gallery Manager, Tanya Leighton, Berlin
Requirement: Full-time, minimum 2 years
Hours: Tuesday–Saturday, 10am – 6pm
Salary: Commensurate with experience

Tanya Leighton seeks a Gallery Manager to oversee the smooth and efficient operation of the gallery and its programme. A successful candidate will speak both English and German fluently, proving experience of working in a fast- moving office environment. Reporting to the director, they will fulfill a key role supervising all office and front of house activities as part of a busy team of full and part-time staff.

Candidate specifications:
– Minimum of 2 years experience working in a commercial gallery in a similar position
– A comprehensive understanding of the parameters of working in a commercial gallery 

– Ability to support team members and artists in all areas of the exhibition and promotion of artwork 

– Proven ability to work to tight deadlines and budgets 

– Excellent organisational skills with proven experience of staff management
– Confidence to delegate tasks and supervise their progress and timely 
completion 

– Confident independent worker, who follows guidelines and instructions 
closely without oversight 

– Excellent written, copy-editing and presentation skills in both English and 
German is essential 

– Proficiency with Mac operating systems, Microsoft Office, Adobe 
Photoshop and InDesign 

– Experience of managing a cloud-based database system 

– Fast learner able to pick-up the operation of new systems efficiently 

– Smartly presented with a polite and positive demeanor 


Tasks and Responsibilities:
– Manage the Gallery’s front of House, ensuring exhibitions are open, running smoothly and gallery spaces always have sufficient staff coverage during opening hours
– Ensure office and gallery spaces are tidy and presentable at all times
– Ensure stationary, office supplies and publications are maintained and well stocked
– Maintain office diary and shared calendar
– Project manage all preparations for exhibition openings, events and dinners
– Welcome visitors to the gallery, giving introductions or tours of the exhibitions
– Liaise with external providers and suppliers (internet, phone, etc.) to arrange repairs and maintenance as necessary
– Maintain the artist CVs, press packs and portfolios, updating in a timely manner
– Maintain the gallery’s digital archive
– Maintain the gallery’s online database including the inputting and updating 
of our contacts
– Field inquiries from institutions, curators and private clients as needed
– Respond to and fulfil image requests
– Create the content for gallery’s social media channels and make posts
– Create exhibition and artwork presentation documents in InDesign when needed
– Recruit interns 

– Manage the delegation of administrative tasks to part-time staff and interns and supervise any necessary research required
– Make travel and accommodation bookings for staff and artists, and prepare schedule and information packs for visiting artists and guests
– Organise presents, cards and flowers for staff and artists
– Provide general assistance to the Owner as well as lend support to other 
members of the team as required
– Uphold gallery standards in all communications, both internal and external
